Moving or Relocating can seem overwhelming at times, but with a well thought out plan, it can be a problem free experience for you and your family. Do get caught unprepared when the moving trucks show up on moving day.

There are some helpful tips to remember when relocating to a new city about 1 month before the move.

• Make arrangements with a moving company or reserve a rental truck for your moving date.
Depending on the size of your move, you will either want to hire a moving company or rent a truck at least one month prior to your move to make certain they are available when you need them. Ask friends, co-workers, and neighbors for recommendations. It is usually good practice to find reviews on moving companies before hiring them. Research a few different companies online, and you are sure to find some customer reviews.

• Planes, trains, and automobiles!
Make any necessary travel arrangements with airlines, hotels, or car rental agencies at least a month in advance. The closer you get to your departure date, the more likely reservations are to fill up and prices are to rise. Be sure not to forget to factor in these prices into your budget for moving. Tickets, Fuel, etc…

• Transfer or terminate memberships in clubs and civic organizations.
Before you move, be certain to research the organizations that are important to you in your new city. And to terminate your memberships in your current city. Don’t get caught paying gym memberships in two cities!

• Just what the doctor ordered.
Before you find yourself in a jam without a prescription you need or a good doctor, be sure to have all of your medical records and prescription histories transferred to your new location. Start asking your doctor and dentist for recommendations and referrals at least a month before you move. Research online customer reviews for doctors in your new city.

• Change your address with the post office.
At least one month before you plan to move, be sure to go to your local post office and ask for a change of address form. Fill this form out with your new address information so you will be sure not to miss any important mail.

• Fill out a change of address form with the IRS.
If you are receiving social security benefits or supplemental security income (SSI), you will want to be sure you notify the IRS of your new address. Be sure to contact the IRS for a change of address form at least one month prior to your move.

• Open a checking account in your new city.
Avoid costly ATM fees and delays in check processing by setting up a bank that is local to your new home. Check to make sure there are ATM locations and banking centers close to both your home and work place so that you will not have to drive out of the way.

• Check into laws and requirements of your new city regarding home based businesses, professional tests, business licenses, tax regulations and any special laws that might be applicable to you.
If you are planning to switch careers or start a new business from home once you arrive in your new city, the last thing you want is a surprise with the law slowing you down!

• Write an inventory of all your belongings.
Make sure to write down, take pictures, or video record your belongings before they are boxed up in the event that you need to file an insurance claim. For electronic equipment, record serial numbers and carry warranty information and receipts with you so that you know their monetary value.

• Make travel arrangements for pets.
If you are in a situation where your pet cannot travel with you, make sure you make arrangements for them to be transported at least a month in advance.

• Start using up food items so there is less to pack and possibly spoil.
Rather than spending more money on grocery shopping the month before you move, be creative in the kitchen with what you already have. Remember that anything in the refrigerator or freezer is likely to spoil if you try to transport it, so use it rather than waste it. Have friends over and have a “clean out the refrigerator” party. The party will be a fun farewell for you and will help you get rid of things you can’t eat on your own!

We need to relocate our offices in the next year, and think we have most of the bases covered. Are their any common mistakes that you see on a consistent basis that we may be missing?

I could probably fill a book with the mistakes that I have seen (and made) in relocating businesses. Larger companies, with a staff devoted to the transition are less likely to be susceptible. But smaller companies are particularly likely to overlook some of the details that can have a huge impact on the firm. So, in no particular order, here are some of the most common “gotchas”.

Location: This may seem obvious, but make sure you understand the impact of the location on your employees. Will you lose employees over a longer commute? What does a rush hour drive to the location look like? Will your shipping costs change? Is there easy access in and out of the property? Make sure that your employees and customers will not be searching for a parking space.

Many years ago, I made the mistake of relocating our company to a 200,000 square foot Class A office building. What I did not realize was the time it took to walk from my parked car to my office. After we moved in, I timed the walk at 7 minutes. That doesn’t sound bad, until I realized that I am in and out of my office an average of 3-4 times a day. That’s nearly an hour a day just walking to and from my car! And the same was true for every salesperson in the firm.

Amenities: Are there restaurants, business services, mail boxes, overnight boxes or other items you may require within a reasonable distance? Can an employee reasonably leave your office for lunch, or perhaps to run an errand? Examine the services that you require now, and understand how they will be duplicated in your new location.

Space Planning: If you have a professional space planner, this is less of an issue. The two biggest mistakes I see in this arena are lack of electrical outlets and furniture that won’t fit. Make sure you know exactly what furniture is being moved or purchased and where it is being located. What needs electricity (and what needs a dedicated line) and where is it being placed? How are you making coffee, and where is the water coming from? What happens when you want to add employees? How will that be accommodated with your furniture layout?

Connectivity: Make sure that your present telephone and internet providers service your building. If you will require a new phone number, how will the transition be handled? We all depend on fast internet service these days. Just don’t assume that what you will require will be available.

Time and budget: This almost doesn’t have to be said, does it? Of course, it ALWAYS costs more and takes longer than you think. A good move is a like a well-prepared meal. Its success is mainly dependent on the attention paid to the preparation. So create an actual written budget, and document every line item with a quote from a vendor. Prepare a time-line of events, and then turn that into a checklist.

This is by no means an exhaustive list, and your business will have its own special requirements. But with attention to detail, you can avoid the most common errors, and make your move a successful one.

No matter whether you are moving across town, around the world or just next door, this is the start of a new beginning and making sure that everything goes well is paramount to whether you enjoy your experience or not.

Unfortunately, problems can occur which are caused by outside influences such as late completion, delays with the exchange of contracts, or even simply by people being away on holiday!

These kinds of setbacks can be tackled by having better communication between you, the customer, your Estate Agent, Solicitor and especially with the vendor or purchaser. By making sure that all parties involved know what’s going on, you could avoid many of today’s moving hassles.

At Moving etc…, we strongly advise that you make sure that the period between your exchange of contracts and the completion date is as long as possible. AT LEAST 10 – 14 days if not longer, if achievable. This is so that you can give plenty of notice to all parties concerned.

After all, you don’t want to exchange contracts just a few days before your move, only to find out that your removal company is fully booked!
